Cancellation Policy

1) How to Book A date is held only after the 30% non-refundable retainer is paid and a signed confirmation is received. Quotes are valid for 7 days. 2) Payments Retainer: 30% due at booking (non-refundable). Balance due the day of the event. We accept online card payments. Arkansas sales tax applies where required. 3) Reschedules & Cancellations One free reschedule if requested ≥3 days before the event. Cancel ≤1 day or no-show: no refund (deposit kept). If we must cancel, you receive a full refund. 4) Service Window Minimum service: 24 hours. Setup: 45–60 min before start; Teardown: ~30 min after. Overtime by availability. Fee. 5) Power, Space & Access Power: one 120V dedicated 15A outlet within 25–50 ft (no shared circuits). Space: flat surface, 6 ft table area, weather-protected. Access: ground level; stairs/long carries may incur a $25+ handling fee. Freeze time: 30–60 minutes. 6) Weather Policy Ideal temps: 50°F–95°F. Shade/cover required >85°F or if raining/windy. If severe weather or unsafe conditions prevent setup, we’ll move indoors or reschedule once within 60 days. If you decline both, standard cancellation applies. 7) Alcohol, Age & Compliance Luxe Sips provides non-alcoholic bases and service. If alcohol is desired, the host supplies it and handles permits and ID checks per local laws. We may refuse service to underage or overly intoxicated guests. No service to minors. 8) Travel, Parking & Fees Free delivery/setup within 15 miles of Lowell, AR. Travel beyond: $1.25 per mile, $25 min. Client covers venue parking/tolls if required. 9) Equipment Care & Security Hold A $150 refundable hold may be placed day-of and released within 48 hours pending inspection. Client is responsible for loss/damage caused by guests or venue conditions. 10) Custom Branding & Add-Ons Custom cups, stickers, napkins, rims, etc. typically require 7–10 business days. Design proofs must be approved within 72 hours. Rush orders may incur a 20% rush fee. “Finishing Touches” add-on includes 120 cups, napkins, and straws. 11) Photos & Marketing We may capture photos/video of the setup for portfolio/socials. Opt out any time via email before the event. 12) Liability & Force Majeure Client ensures safe power and adequate space/cover. Luxe Sips isn’t liable for interruptions outside our control (power failures, extreme weather, acts of God). Liability is limited to amounts paid. By paying the retainer, you agree to this policy.
